Privacy Policy

Employee Provident Fund (EPF) cares about your privacy. This Privacy Notice describes how EPF processes your personal data from the point we collect, use, share, dispose of and the security measures that we established to ensure your personal data is well protected.

This Privacy Notice covers both our online and offline collection activities, including personal data that we collect through online platforms such as our websites, applications, third party social networks, our online and physical events, through third parties that we work with including our strategic partners, customer service interactions, and any other channels as determined by EPF (collectively hereinafter referred to as “Channels”).

For purposes of this Notice, “processing” of personal data shall have the meaning as defined under the Personal Data Protection Act 2010 (“the Act”) which includes, use, collection, storage, disclosure, access and transfer of the personal data.
 

What Kind Of Information We Gather

Your personal data that could be collected and processed by EPF includes but is not limited to the following (collectively hereinafter referred to as “Personal Data”) :-
 

How We Collect

• Data obtained from platforms designed to manage stakeholder relationships and communication channels.
• Data collected from other service providers or third-party organisations and agencies authorized to disclose and share your information.
• Information gathered during physical events, roadshows, surveys, or face-to-face engagements.
• Data captured through cookies, analytics tools, and similar technologies used on our digital platforms including browsing behaviour, device usage, and application’s interactions.
• Data obtained from any other sources permitted by law or necessary for delivering our services, enhancing user experience, or fulfilling regulatory requirements.

How We Use

Where applicable, we will process your Personal Data and information for the following purposes (collectively hereinafter referred to as the “Purposes”) :-

• To facilitate your use of and access to the Channels;
• To request feedback and/or to otherwise contact you about your use of the Channels;
• Conduct research, survey or analysis for EPF’s Investment related purposes;
• Responding to your inquiries or raising inquiries;
• Improving the quality of the Channels and other services EPF offers;
• To provide updates and deliver notifications via email, mobile applications, third party social networks, short messaging system or other communication channels.
• Tailor communication for our services, content, and recommendations based on your preferences, behavior, and engagement history.
• Analyse data for reporting, insights, and the continuous improvement of our services and operations.
• For any other purposes that is required or permitted by any law, regulation, order and/or guidelines.
• When providing us with the information, you represent that such information is accurate, complete, up to date and true. Where you provide Personal Data of another person, such as those of your dependents and family members or those who are not legally competent to give consent, you acknowledge and warrant that you have obtained their consent for us to process their Personal Data.

Where We Store

We process your Personal Data primarily within Malaysia to ensure it is stored and managed securely. Your Personal Data will not be transferred outside Malaysia unless necessary for service delivery and only with adequate safeguards in compliance with applicable laws. Where applicable, data may be hosted outside Malaysia, with all necessary security measures and compliance standards strictly enforced.
 

With Whom We Share

Please TAKE NOTICE that the Personal Data may be accessed, disclosed, disseminated and transferred to other departments, branches, offices and subsidiaries of EPF whether present or future, business partners, service providers, and/or to any third-party agents providing administration or other services to EPF (including but not limited to service providers offering cloud storage and maintenance of records) or involved in any corporate exercises undertaken by EPF, located within or outside Malaysia, for and in respect of the Purposes. The Personal Data may also be accessed, disclosed, disseminated and transferred to our professional advisors, including our legal advisors, auditors, accountants and consultants and regulatory and governmental authorities and any government agencies or bureaus or relevant bodies in order to comply with statutory requirements and government directions, court orders or legal processes, or if required by law or for and in respect of the Purposes.
 

Security

• Your Personal Data is managed in strict compliance with the Act and other relevant regulations.
• All EPF’s staff members are trained and required to adhere to strict data protection policies, ensuring no misuse or mishandling of your Personal Data.
• We enter into binding agreements with system vendors and service providers to ensure your Personal Data is processed securely, used only for authorized purposes, and protected from unauthorized access or disclosure.
• Advanced security measures such as encryption, firewalls, and regular system monitoring are implemented to prevent breaches or unauthorized access.

Our Channels may contain links to external or third parties’ websites. We are not responsible for the privacy practices of others’ channels.  If you provide your Personal Data directly to such websites, the personal data protection policies as made available on those websites shall govern the processing of such personal data.
 

Your Privacy Rights

Make corrections, updates or access to your Personal Data through our service counters, Self-Service Terminals (SST), or online platforms, including the i-Akaun (Member) web portal and KWSP i-Akaun mobile app.

If you have consented to our processing of your Personal Data, you have the right to withdraw your consent at any time. This includes where you wish to opt out from marketing messages. Amendment Of Notice

EPF reserves the right to update and amend this Notice from time to time.  In the event the Notice is revised, the amendments will be updated on this page. Amendments may include changes to the type of information that is collected, how it is to be used and under what circumstances, and how information is to be shared with other parties. Continued use of the Channels after posting of the revised Notice signifies that you agree to any such amendments. All changes will take effect immediately upon posting.  We encourage you to refer to this Notice on an ongoing basis so that you understand our current Privacy Notice.

In the event of any conflict between the English and other language versions, the English version shall prevail. EPF shall have the right to modify, update or amend the terms of this Notice at any time by way of notice to you. If you continue to communicate with EPF or continue to use the Channels following any modifications, updates or amendments to this Notice, such conduct shall signify your acceptance of the modifications, updates or amendments.
